Phase 01 · The Brief第一阶段 · 需求

A 60-minute conversation in a kitchen. 在厨房里的一次 60 分钟对话。

The hosts came to Dolan's Alhambra one afternoon. Our team sat down with them at a back table for an hour — together we discussed and aligned on every detail. Date. Venue. Guest count. Vendors. Menu. Dietary considerations. Brand colors. The things they were nervous about. 主办方在某个下午来到 刀郎 Alhambra 店。我们的团队与他们在后排桌子坐下来一个小时——一起共同商量和协定每一项细节。日期、场地、人数、供应商、菜单、饮食考量、品牌色、他们担心的事。

By the end of the conversation we had a one-page brief, a fixed delivery date, and a commitment: by event day, every detail would live in one place — and every stakeholder would see the same version. 对话结束时我们手上有一份一页 概要、一个明确的交付日期,以及一句承诺:到活动当天,每一个细节都集中在一处,每一位相关方看到的都是同一个版本。

Phase 02 · The Build第二阶段 · 搭建

Week of the event活动当周

Three websites went live. Four print pieces went to proof. 三个网站陆续上线,四件印刷物料进入打样。

From the brief, we generated everything. The internal team dashboard. The vendor coordination page. The public guest microsite at the-client.dolansusa.com. All three drew from the same data. 基于概要,我们生成了所有内容:内部团队仪表盘、供应商 协作页、对外宾客微站(the-client.dolansusa.com)。三个站点共用同一份数据。

Then the print pieces — menu cards, dish labels, contact cards, large brand cards — rendered from the same source. Change a dish on the menu, and every print piece updated for the next batch. 然后是印刷物料 —— 菜单卡、菜签、联络卡、大尺寸品牌卡 —— 同样基于这份数据生成。改菜单上一道菜,下一批印刷物料自动更新。

Phase 03 · The Day第三阶段 · 当天

Nine hours, accounted for to the minute. 九个小时,精准到分钟。

By the day of, every vendor had the same timeline open on their phone. The dashboard updated as things shifted. Below is what actually happened. 活动当天,每位供应商 的手机上都打开着同一份时间表。仪表盘随情况变化即时更新。下面是当天的实际发生情况。

What worked奏效的

  • Password-gated vendor page eliminated info-leak anxiety from the hosts.密码保护的供应商页面消除了主办方对信息泄露的担忧。
  • Print artifacts generated from the same data — a last-minute menu change updated the dish labels too.印刷物料与数据同源 —— 最后一刻改菜单,菜签同步更新。
  • A dedicated lead on-call through the event meant zero "let me check and get back to you" moments.专属带队人全程电话待命 —— 没有"我查一下回你"的时刻。

For next time下次改进

  • ·Lock the heat-lamp rental two weeks earlier, not one.保温灯租赁要提前两周锁定,不是一周。
  • ·Add a vendor-side acknowledgment checkbox on the timeline so we know who has actually read it.供应商 端时间表加"已阅"勾选,确认谁真的读过。
  • ·Pre-print 20% extra dish labels for last-minute substitutions.菜签预印 20% 余量,应对最后一刻替换。
